GENERAL STATEMENT OF RESPONSIBILITIES:
The LIHC Executive Assistant is to provide a wide range of support services to the Chief Operating Officer (COO) and LIHC Department Heads. Primary responsibilities will include tasks such as preparing reports and presentations, coordinating projects, attends and prepares minutes from all Lassen Indian Health Center (LIHC) health board and clinic meetings, manages executive’s calendar and meetings, screens calls, prepare travels arrangements, and other duties assigned. The executive assistant works closely with other staff at LIHC to keep the office of the executive running smoothly.

SPECIFIC AREAS OF RESPONSIBILITIES:
• Performs general administrative tasks including but not limited to written and verbal correspondence, copying, supply orders, keeping machinery operable, replacing the toner for the copy and fax machines, and reception duties such as answering telephones.
• Organizes, schedules, arranges, and participates in conferences, retreats, and LIHC health board committee meetings as directed.
• Prepares documentation for LIHC health board meetings.
• Attends assigned meetings, taking minutes and making them available in a timely fashion.
• Types reports for LIHC health board meetings.
• Maintains strict confidentiality regarding HIPAA, board actions, and executive decisions.
• Organizes and maintains health board minutes and the policies and procedures manuals.
• Aids in organization of any meeting requested by the COO.
• Proficient in Microsoft word, excel, access, internet, and e-mail with the ability to learn new software as needed.
• Excellent customer service skills in face-to-face and telephone interactions.
• Must have complete understanding of the patient confidentiality act.
• Extremely efficient, organized and resourceful.
• Flexible and able to function well in a fast-paced environment.
• Take fast notes or shorthand for some assignments.
• Use office equipment.
• Compose routine correspondence.
• Handle multiple tasks.
• Other duties as assigned.

KNOWLEDGE SKILLS AND ABILITIES:
Ability to sit for long periods of time and keyboard for long periods of time.
Ability to learn new information quickly and accurately.
Ability to interpret policies and procedures to patients and the public in a friendly and professional manner.
Interpersonal skills to deal with many personalities.
Strong decision- making skills.
Verbal and written communication skills and attention to details. Knowledge in use of word processing in preparing routine documents. Knowledge of database, spreadsheet, and desktop publishing systems.
Organizational skills, including the ability to prioritize. Ability to maintain confidentiality. Ability to work effectively with others.

MINIMUM QUALIFICATIONS:
1. Must have a high school diploma or equivalent from an accredited high school.
2. AA Degree or Certificate of Completion from an Accredited Business School.
3. Must have a valid California driver’s license or license from current residence state.
4. Must pass pre-employment background check.
5. One to three years of related experience.
6. Must be able to type 45 wpm.
7. Must have computer experience.
8. Must pass pre-employment drug test.
9. Must have a valid CPR card or be able to obtain within ninety (90) days of hire date.
10. Must be willing to travel for training

WORKPLACE ENVIRONMENT:
1. PHYSICAL SAFETY: The work is sedentary. Typically, the employee may sit comfortably to do the work. However, there may be some walking, standing, bending, carrying of light items, driving an automobile, etc. No special physical demands are required to perform the work.
2. WORKING ENVIRONMENT: Regular exposure to favorable conditions such as those found in a normal office.

PREFERENCE POLICY:
1st Preference: Enrolled member of a Federally Recognized Tribe.
2nd Preference: Documented proof of Veteran Status, i.e. DD-214, Veterans Benefit Card.
3rd Preference: All other applicants.
