POSITION TITLE: Administrative Assistant (Education)
STARTING SALARY: $14.72/ hr.
STATUS: Permanent
HOURS: Full Time

Under the direction of the Education Programs Manager, the Administrative Assistant provides clerical support and assists with the day-to-day operations of the Education Department. This position works with the Manager to organize workshops and presentations; coordinate tutor activities; and maintain student records and activity logs. This position will develop activities with emphasis on Native American culture and will engage Tribal members to speak to students on Native American history, culture, and values.
This position works with and around our children and youth and is therefore subject to P.L. 101-630.

Perform clerical tasks as assigned in support of all Education Programs.
Perform a variety of office functions and activities in support of program office operations; schedule appointment, filing, record keeping and make referrals as appropriate.
Answer phones and greet visitors; take and relay messages; open, sort and route mail and other communications; provide program-related information to students, parents, staff and the public; explain and enforce policies and procedures; maintain confidentiality of materials and information.
Participate in student registration activities; assist parents with proper completion of forms.
Responsible for data input of after school program registrations and attendance.
Communicate with a variety of Tribal and School personnel regarding after school activities, facility needs, supplies, policies, procedures and student information.
Create newsletters, forms, flyers, calendar, spreadsheets, rosters and brochures for internal and external use.
Assist Education Programs Staff as needed.
Coordinate and facilitate cultural presentations.
Collect student attendance daily and provide documentation to Manager.
Daily enforcement of the pick-up policy and remain at site until all students are picked up.
Assist the Manager in implementing all policies and rules regarding student life and conduct.
Review tutor supply requests for the After-School Program and conduct annual inventory of program materials.
Create a Native American culturally aware environment in the Education Department.
Perform other duties as assigned.

Strong interpersonal skills and the ability to work effectively with a wide range of individuals.
Ability to communicate effectively, both orally and in writing. Ability to create, compose and edit written materials.
Ability to gather data, compile information, and prepare reports.
Ability to use tact, courtesy, discretion, resourcefulness, and good judgement in handling issues of a sensitive nature.

1. Must have a high school diploma or equivalent from an accredited high school.
2. Must have a valid California driver’s license or license from current residence state.
3. Must pass P.L. 101-630 background check.
4. Must pass pre-employment drug test.
5. Must have a valid CPR card or be able to obtain within sixty (60) days of hire date.
6. Must have one (1) to three (3) years of similar or related experience, with a minimum of one (1) year of documented office experience.
7. Must be able to type thirty (30) words per minute.
8. Must pass pre-employment tests in filing, proofreading, MS Word and Excel at a passing grade of 75% on each test.
9. Must be able to lift thirty (30) pounds.
10. Must be willing to travel for training.
11. Must be 21 years of age or older and have been a licensed driver for at least three years.

1. PHYSICAL SAFETY: The work is sedentary. Typically, the employee may sit comfortably to do the work. However, there may be some walking, standing, bending, carrying of light items, driving an automobile, etc. No special physical demands are required to perform the work.
2. WORKING ENVIRONMENT: Regular exposure to favorable conditions such as those found in a normal office.

1st Preference: Enrolled member of a Federally Recognized Tribe.
2nd Preference: Documented proof of Veteran Status, i.e. DD-214, Veterans Benefit Card.
3rd Preference: Non-Native applicant.

6. Copy of DD214 or other proof of Veteran status, if claiming Veteran’s Preference.
7. An additional statement on how you meet each minimum qualification.
