GENERAL STATEMENT OF RESPONSIBILITIES:
Under the guidance of the Tribal Administrator, the Tribal Administrative Assistant supports the day-to-day operations of the Tribal Office.

DUTIES INCLUDE:
1. Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries.
2. Processes all applications for member benefit programs.
3. Processes all sponsorship applications.
4. Processes all applications for member reimbursement programs.
5. Processes all Low Income Housing Energy Assistance Program (LIHEAP) applications.
6. Delivers LIHEAP payments to local vendors / agencies when necessary.
7. Processes receipts of all payments; delivers receipts to the Fiscal Department the last day of each week and on the last day of each month.
8. Maintains and updates excel spreadsheets of all assistance programs that are provided through the Tribal Office (Member Assistance, Member Donation, Sponsorship, Cultural Event Sponsorships, Youth Program Reimbursement, School Clothes Reimbursement, LIHEAP [NCIDC and Tribal], etc.).
9. Prepares correspondence to individuals that have not provided the required receipts within the designated time frame.
10. Assists with the preparation of correspondence, reports, and various other materials.
11. Logs and distributes correspondence keeping an up-to-date computer and/or paper log of all incoming and outgoing mail and faxes.
12. Processes Tribal Office mailers.
13. Obtains articles for the quarterly tribal newsletter and prepares the same.
14. Keeps equipment operational by keeping all copiers full and follows manufacturer’s instructions and established procedures while using equipment.
15. Corresponds with the IT Department and Public Works Department on the status of all work orders.
16. Assists in the preparation of Tribal Office records, on an annual basis, for transport to storage.
17. Maintains all Tribal Office bulletin boards.
18. Reviews the local newspaper each week and maintains SIR related articles for historical reference.
19. Maintains strict Tribal Office confidence and protects operations by keeping information confidential.
20. Contributes to the team effort by participating in the Susanville Indian Rancheria’s facility wide program improvements, goals and standards.
21. Other duties as assigned.

MINIMUM QUALIFICATIONS:
1. High School diploma or equivalent.
2. One (1) year similar or related experience.
3. Ability to type thirty (30) words per minute.
4. Computer experience in various kinds of software including, but not limited to, word processing and spreadsheet programs. Must pass pre-employment typing, filing, proofreading, MS Word, and Excel exams (with a minimum passing grade of 80% on each test).
5. Ability to lift and carry thirty (30) pounds.
6. Knowledge of office procedures and machines.
7. Ability to work well under pressure and meet deadlines.
8. Good written and verbal communication skills.
9. Be flexible and willing to take direction.
10. Maintain a positive work attitude.
11. Ability to use tact, courtesy, discretion, resourcefulness, and good judgment in handling issues of a sensitive nature.
12. Willing to travel for training.
13. Must pass a background investigation in accordance with P.L. 101-630.
14. Must have a valid driver’s license with no more than 5 MVR points and insurable as determined by the Susanville Indian Rancheria insurance provider.

BEHAVIOR:
The vision, goals and objectives of the Susanville Indian Rancheria requires the employee to perform in both a professional and personable manner. The way the employee relates to fellow employees, customers and visitors is considered parallel in importance to technical knowledge and ability. Respect and consideration given to the dignity of each customer, visitor and fellow employee is requisite of successful job performance. Any attitude or behavior that will tarnish the name or reputation of the Susanville Indian Rancheria will not be tolerated and is subject to disciplinary action. As an employee of the Tribe, he/she will be subject to the Policies and Procedures of the Susanville Indian Rancheria.

PHYSICAL SAFETY:
The work is sedentary. Typically, the employee may sit comfortably to do the work. However, there may be some walking, standing, bending, carrying of light items, etc. No special physical demands are required to perform the work.

WORKING ENVIRONMENT:
Regular exposure to favorable conditions such as those found in a normal office.

PREFERENCE POLICY:
1st Preference Enrolled member of a Federally Recognized Tribe.
2nd Preference Documented proof of Veteran Status, i.e. DD-214, Veterans Benefit Card.
3rd Preference Non-Native applicant.

Only completed applications will be considered. For your application to be considered complete you must attach a copy of your High School Diploma or College Degree. If the position requires a valid Driver’s License you must also attach a copy of your Driver’s License. In addition, you must provide an additional statement on how you meet the qualifications.
